Scheduling Coordinator Checklist


Morning Checklist

  1. Turn on computers and monitors and log into Eddson and Weave
  2. Address all Weave messages (voicemails, texts, faxes)
  3. Address all urgent emails (referral letters, appointment requests, patient questions, etc.)
  4. Address all AI Annie Messages
  5. Pictures of all patients taken and added to charts throughout the day
  6. Work the Patients To Be Called Spreadsheet
  7. Work the Needs Attention from Office Spreadsheet
  8. Check in lab cases as they come in, make sure appointments are set up
  9. Send referral letters to specialists
  10. Print and stock forms
  11. Mark patients that need a new health history form
  12. Upload health history forms into patient chart
  13. Audit hygiene schedule up to one month in advance to optimize schedule
  14. Calling and scheduling overdue recall patients

End of Day Checklist

1. Work the hygiene schedule for today and tomorrow – scheduling each provider to goal and filling voids
  • Aim to schedule each provider to their goal (example 1300)
  • Focus on today first and then tomorrow
  • If we are to goal, then focus on filling voids
2. Verify insurance coverage and eligibility for all HYG appts next day (esp. SRP)
3. Call each HYG patient to confirm their appointments at least 2 days in advance

4. Verify that all treatment plans or financial arrangements have been made for HYG appts next day

5. Call and inform each HYG patient about any past due or patient portions for next day
6. Put patient portion (with previous balances) amounts on the schedule for all HYG appts next day

7. Prepare and print morning huddle reports for next day

8. Update Scoreboard
